How to Plan a Retirement Party at Work (Without It Feeling Like a Leaving Do)

A practical guide to a workplace retirement party: timing, who to invite (including former colleagues), speeches, the card, a gift, and how to make a long career feel properly marked.

A retirement isn’t a leaving do. Someone who’s leaving for another job will see some of these people again; someone retiring is closing a whole working life. The party should feel like it: a little more ceremony, the people from years ago, and a moment where the career is actually acknowledged.

Timing

  • Ask the retiree what they’d like. Some want a big send-off; some want cake and five minutes.
  • The last week or two, not the final day, when they’re returning laptops and saying goodbyes one by one.
  • Late afternoon lets people from other teams drop in.

Who to invite

  • The current team.
  • People they worked with across the company.
  • Former colleagues. Often the people who matter most at a retirement, and the easiest to forget. Make the invitation easy to pass along.
  • Partners and family, if it’s in the evening.

The shape of it

  1. Arrival and drinks (20 minutes).
  2. A short speech from their manager or longest-serving colleague: one or two stories, a thank-you, done in five minutes.
  3. A word from the retiree, if they want one; ask beforehand.
  4. The card and the gift.
  5. Time to talk. The best part, and the one that gets cut when speeches run long.

The card

A retirement card is the thing people keep. Collect messages from everyone, including former colleagues and people who can’t attend, a week or two ahead, so nobody’s writing in a hurry. A group card lets everyone sign from wherever they are; retirement wishes for a coworker has wording if people are stuck.

The gift

  • Tie it to what they’re retiring to: a garden, travel, a long-postponed hobby.
  • Keep contributions optional and private.
  • One thoughtful gift beats a pile of small ones.

Remote and hybrid teams

Hold a short video call alongside the in-person party, schedule the speech so remote colleagues can join, and make sure the card isn’t limited to whoever’s in the office.

Inviting people

Send the invitation two to three weeks ahead, with a reply-by date and a note that former colleagues are welcome. Retirement party invitation wording has examples. In TeamRally, the event page collects replies and dietary needs in one list, and you can send one message to everyone who hasn’t replied yet.
