Free Company Event RSVP Tracker for Google Sheets

Knowing who’s actually coming is half the battle of any company event. This RSVP tracker gives you one clean sheet for responses, plus-ones, and dietary needs — with a live headcount that updates as answers come in.

What’s inside

  • Response tracking — Yes / No / No reply status per person, with conditional formatting so gaps jump out
  • Plus-one and dietary columns so you collect everything in one pass, not three follow-up emails
  • Live headcount rollup — confirmed, pending, and total expected attendees at the top
  • A “chase list” tab that auto-filters everyone who hasn’t responded, ready to paste into Slack

How to use it

  1. Click Get the template and choose Make a copy.
  2. Paste your employee list into the Names column (or import from your HRIS export).
  3. Log responses as they arrive — the headcount and chase list update automatically.
  4. One week before your deadline, paste the chase list into your reminder message.

Tips

  • Set a hard RSVP deadline two weeks before the event and put it in the invite.
  • Collect dietary needs in the same ask. Chasing people twice doubles your non-response rate.
  • Share the sheet view-only with leadership so they stop asking you for the headcount.
